POSITION SUMMARY: Supports the daily work of the Vice President of Human Resources and the Vice President of Compliance. In this capacity, and at the direction of one of these individuals, drafts and creates documents, manipulates and presents data, drafts and creates powerpoints, and creates other assigned communications/projects. Performs requested and confidential research on employee, privacy, compliance, and human resources issues both within internal systems and external data. Prioritizes requested meetings and messages for the two vice presidents based on knowledge of ongoing issues. Maintains confidentiality for all sensitive matters. Performs a variety of administrative functions for the department, including answering phones, greeting visitors and procuring supplies for the department. Ensures questions are routed appropriately and are charged with handling the department’s corporate credit card. Coordinates scheduling within the department which includes web-based meetings and arranging travel plans for department members when necessary. Assists with the scheduling of departmental interviews and work as event planners for off-site meetings. Oversees database administration, which includes running monthly departmental budget reports, managing web portals and maintaining a shared filing system within the department. Project work may consist of leading assigned projects, completing audits, supporting negotiations and/or case preparation, and holding training sessions with peers. Cross coverage for other executives as needed for absences.
