The account team at Woodruff manages client relationships and ensures client work moves smoothly through our processes. This role is a key resource in keeping our work on course. The account coordinator keeps track of a significant amount of detail and is the team’s resource for up-to-date client and project information. The coordinator assists account teams with internal communication, scope of work management, project status tracking and timeline updates. They juggle multiple projects simultaneously and are efficient and effective communicators.
This person could be located in the Kansas City, MO, office; Columbia, MO, office; or remote.
Essential Duties and Responsibilities:
Account Management/Knowledge
- Monitor progress from start to finish to ensure projects are moving through Woodruff’s processes smoothly and on time. Understand agency day-to-day operations and processes.
- Accurately capture details, questions, next steps and timing from meetings and facilitate internal communication to ensure everyone is in lockstep.
- Proficiently use Word, Excel, PowerPoint, Google Apps, Keynote, project tracking software and other tools to keep client and project information organized, timely, clearly communicated and easily accessible.
- Set clear expectations with internal teams. Proactively escalate problems to account leads or other team members.
- Coordinate meetings, including developing agendas, setting up calendar invitations and appropriate technology, securing rooms and recording notes, action items and next steps. Recap discussions through internal communications.
- Set up and regularly maintain project status reports. Lead status meetings with internal teams as requested.
- Maintain constant awareness on the status of each assigned project. Hone problem-solving skills by identifying project issues and opportunities.
- Review all work prior to finalizing to send to clients to ensure accuracy based on Woodruff teams’ and clients’ input.
- Maintain client profiles, general information and work files for the account team on Egnyte, Google Drive or other platforms.
- Manage scopes of work and timelines; proactively communicate changes or new developments to account leads and internal teams.
- Prepare billing and other recaps for clients or team members as requested.
- Participate in agency projects as requested. Carry out action items assigned, follow through and report on outcomes to project stakeholders and support team members as assigned.
Client Relationships and Business Growth
- Become familiar with clients’ business structure, industries, competitors, products, technologies and trends.
- Develop understanding of how clients take their products and/or services to market, and how Woodruff’s capabilities can help them in their business.
- Understand basic client communication structure and execute as assigned.
Team Leadership and Internal Relationships
- Develop an understanding of agency capabilities and current staff roles.
- Build rapport and trusting relationships with internal teams.
- Collaborate with multiple internal teams to ensure projects are delivered on time and in scope, and that they reflect Woodruff and client standards.

Education/Experience/Certification(s):
- Up to two years of experience and a B.A. or B.S. degree; a degree in a discipline related to advertising, marketing, journalism or communications is a plus.
- Interest or experience in pets and pet health is a bonus.
